EditIntroduction
Management of licenses renewal in Octopus can be configured from the service contract. This approach allows you to receive a notification before the renewal period.
EditPrerequisites
Before creating a service contract, you must first add a type of service contract that will help you identify the renewals. As an example, you could simply name it
License renewal..
From the
Tools menu>
Reference Data Management
Open the section called
General >
Service contract type and add the name of the new service type.
EditService contract configuration
From the
Suppliers module, select the software supplier and click on the
Create a service contract action.
Enter the information needed for your license renewal

and add the software in question in the Covered CI tab.
EditNotifications
To receive an email before the renewal day, you must configure in the option when you would like to be advised.
Menu
Tools >
Options
Section
Email to assignees
Select the amount of months before expiration date that you would like to set before receiving the notification

Then, from the
Files menu >
My notification preferences,
Select the event
Service contract expiration and click on Email to receive an email at the desired date.
Note : all Octopus users who wish to receive this kind of notification must subscribe to this type of notifications in their preferences.
EditLicenses to renew shortly
It is also possible to get the list of licenses needing a renewal shortly, or simply the list of all service contracts.
From the module
Suppliers, click on
Service contracts (in the left menu).
- Make sure to add the columns Supplier, Start date, End date and CI
- Group by contract type
- Sort by end date
